Raven Imagery respects your privacy and takes the protection of personal information seriously.
This Privacy Policy explains what personal information I collect, why I use it, how long I may keep it, who it may be shared with and the rights you have in relation to it.
1. Who Is Responsible for Your Personal Information?
Raven Imagery is operated by Andrew Raven Richardson trading as Raven Imagery.
For the purposes of applicable UK data protection law, Andrew Richardson trading as Raven Imagery is the data controller for the personal information described in this policy.

2. Personal Information I May Collect
Depending upon how you interact with Raven Imagery, I may collect:
your name;
email address;
telephone number;
postal or billing address;
information provided through enquiry, contact, booking or waiting list forms;
details relating to a photography commission, including preferred locations, dates and requirements;
information you choose to tell me about your dog, family or other people participating in a photography session;
correspondence between us by email, telephone, social media or other communication methods;
invoices, transaction information and payment records;
photographs and video containing identifiable people;
model release, publication or image usage preferences where applicable;
marketing and newsletter preferences;
information concerning commercial licences and permitted image use;
website usage and technical information such as browser type, device information, pages visited, approximate location derived from an IP address and cookie or similar technology information where applicable;
information reasonably required to manage a complaint, legal issue or insurance matter.
I do not ordinarily need to collect special category personal information. Please avoid providing sensitive personal information unless it is genuinely relevant and necessary for your enquiry or commission.
3. How I Collect Personal Information
I may collect information directly from you when you:
contact Raven Imagery;
complete a website form;
join a waiting list or mailing list;
make or discuss a booking;
participate in a photography session;
purchase photography services or products;
communicate with me by email, telephone or social media;
attend an event at which Raven Imagery is providing photography;
enter into a commercial photography agreement;
provide a testimonial or other content;
exercise one of your data protection rights.
I may also receive personal information from another person or organisation, for example where:
a family member makes a booking involving you;
a business, agency, publication or event organiser commissions photography involving you;
a client provides contact details required to organise a commercial production;
somebody refers you to Raven Imagery;
information is generated automatically when you use the website.
Where another person provides your information, I will use it only where I have an appropriate lawful basis for doing so.
4. Why I Use Personal Information and My Lawful Bases
UK data protection law requires a lawful basis for using personal information. The basis will depend upon why the information is being used.
Enquiries and bookings
I use personal information to respond to enquiries, discuss commissions, prepare quotations, arrange sessions and take steps towards entering into a contract.
The lawful basis will usually be taking steps at your request before entering into a contract or performing a contract with you.
Providing photography services
I use Client information to plan, photograph, edit, deliver and administer commissioned work.
Where you are the Client, this will generally be necessary for performance of our contract.
Where another person has arranged the commission and your information is needed to organise or carry out the photography, I will use an appropriate lawful basis having regard to the circumstances.
Payments, accounting and business records
I use information to issue invoices, record payments, maintain financial records and comply with tax, accounting and other legal obligations.
The lawful bases may include performance of a contract, compliance with a legal obligation and legitimate interests in maintaining appropriate business records.
I do not ordinarily receive or store complete payment card details where payment is processed by an independent payment provider.
Client communication and administration
I may retain correspondence and booking information to manage ongoing work, answer questions, maintain records, deal with complaints and protect or establish legal rights.
The lawful bases may include contract, legal obligation and Raven Imagery's legitimate interests in operating and protecting the business.
Photography containing identifiable people
Photographs and video in which a person can be identified may constitute personal information.
Where photography of you forms part of the service you have commissioned, capturing, editing and delivering those photographs will ordinarily be necessary to perform the contract.
Use of identifiable photographs beyond the delivery of the commissioned service, including publication in a portfolio, website, social media, exhibition, competition, editorial feature or promotional material, will be considered separately.
Depending upon the circumstances, an appropriate lawful basis may include consent or legitimate interests.
For private portrait commissions, where I ask for your consent to a particular publication or promotional use, you may withdraw that consent for future processing. Withdrawal does not make processing carried out lawfully before withdrawal unlawful.
Marketing, news and waiting lists
If you join a mailing list, Christmas waiting list or other promotional list, I may use your name and email address to send the information you requested and relevant Raven Imagery news or releases.
Where required, I rely on your consent.
In circumstances where applicable electronic marketing rules permit communication with an existing customer about similar services, another lawful route may apply.
Every direct marketing email will provide an appropriate way to opt out. You can also ask me to stop marketing communications at any time by contacting andrew@ravenimagery.co.uk.
I may keep a minimal suppression record after you unsubscribe so that I can respect your request and avoid accidentally adding you to marketing again.
Website operation, security and analytics
I may process limited technical information to operate, secure, maintain and understand use of the Raven Imagery website.
Depending upon the technology involved, the lawful basis may include legitimate interests, consent or an applicable statutory exception.

Legal claims, fraud prevention and security
Where reasonably necessary, I may use personal information to prevent misuse, protect Raven Imagery, investigate a dispute or complaint, establish or defend legal rights, comply with legal requirements or assist appropriate authorities.
The lawful basis may include legitimate interests and compliance with legal obligations.
5. Photography of Children
Photography commissions may sometimes include children.
Where a child is participating in a private photography session, booking and contact information will ordinarily be provided and managed by their parent or guardian.
Images containing identifiable children will be handled with particular care. Where permission is required for publication or promotional use, I will seek appropriate permission from a parent, guardian or other person authorised to provide it.
6. Who I May Share Personal Information With
Raven Imagery does not sell personal information.
Personal information may be shared with trusted service providers where reasonably necessary to operate the business or provide your commission.
These may include:
the website hosting and website services provider, including Squarespace;
email and cloud storage providers;
online gallery or digital delivery providers;
payment processors and banking providers;
accountants, bookkeepers and other professional advisers;
photographic laboratories, framers, printers and production suppliers where physical products have been ordered;
couriers and delivery providers where an order needs to be delivered;
insurers, legal advisers or debt recovery professionals where reasonably necessary;
agencies, publishers or commercial production partners where sharing is required for an agreed commercial commission;
law enforcement bodies, courts, regulators or public authorities where disclosure is required or permitted by law.
Service providers receive only the information reasonably necessary for the relevant purpose and are expected to handle personal information appropriately.
7. International Transfers
Some of the technology and service providers used by Raven Imagery may process or store information outside the United Kingdom.
Where personal information is subject to a restricted international transfer, I will take appropriate steps to ensure that the transfer is permitted under applicable UK data protection law, for example through an applicable UK adequacy regulation, approved contractual safeguards or another lawful transfer mechanism.
8. How Long I Keep Personal Information
I keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including legitimate business, legal, accounting and archival requirements.
As a general guide:
Enquiries that do not proceed to a booking may ordinarily be retained for up to two years after our last meaningful contact, unless there is a reason to retain them for longer or you ask for deletion and there is no lawful reason to retain them.
Client contracts, invoices and core financial records may ordinarily be retained for approximately six years or for another period required by applicable tax, accounting or legal requirements.
Booking correspondence and commission records may be retained for a reasonable period following completion of the commission where needed for Client service, business administration, legal protection or record keeping.
Delivered photographic files are ordinarily retained for at least six months following delivery where reasonably practicable. Raven Imagery does not promise permanent storage and Clients should maintain their own backups.
Some finished photographs may be retained for longer as part of Raven Imagery's professional, copyright, published or photographic archive where there is a lawful basis to do so.
Marketing records will be retained while you remain subscribed. Where you opt out, I may retain a minimal suppression record for as long as necessary to ensure your preference continues to be respected.
Backups may contain information for a limited additional period before being overwritten or securely deleted.
Retention is reviewed periodically and information that is no longer reasonably required will be deleted, anonymised or securely disposed of where appropriate.
9. Security
I take reasonable technical and organisational measures to protect personal information from accidental loss, misuse, unauthorised access, alteration or disclosure.
Access to personal information is limited to those who reasonably require it for the purposes described in this policy.
No internet transmission or electronic storage system can be guaranteed to be completely secure, although appropriate care is taken to protect the information entrusted to Raven Imagery.
10. Cookies and Similar Technologies
The Raven Imagery website is hosted using Squarespace and may use cookies and similar technologies for purposes such as:
operating essential website functions;
remembering settings and preferences;
maintaining website security;
understanding how visitors use the site;
measuring website performance;
enabling embedded or third party features.
Where consent is legally required before a cookie or similar technology is placed or accessed, the website will seek that consent.
Current UK rules also allow certain limited uses of storage and access technologies without prior consent where a statutory exception applies, subject to the conditions of that exception.
Where available, you can use the website's cookie or privacy controls to manage your choices. You can also manage cookies through your browser settings, although disabling some technologies may affect website functionality.
11. Direct Marketing
You have the right to object to the use of your personal information for direct marketing at any time.
Where you receive marketing emails from Raven Imagery, you can use the unsubscribe facility provided or contact andrew@ravenimagery.co.uk.
Opting out of marketing will not prevent me from sending service messages that are necessary to administer an existing booking, respond to an enquiry or fulfil a contract.
12. Your Data Protection Rights
Depending upon the circumstances and the lawful basis being used, you may have the right to:
ask for access to personal information I hold about you;
ask for inaccurate information to be corrected;
ask for personal information to be erased in certain circumstances;
ask for processing to be restricted in certain circumstances;
object to certain processing, including processing based on legitimate interests;
object at any time to direct marketing;
receive certain personal information in a portable format where the right to data portability applies;
withdraw consent at any time where processing relies upon consent.
These rights are not absolute and exemptions or limitations may apply in particular circumstances.
I may need to take reasonable steps to verify your identity before fulfilling a request.
You will not normally be charged for exercising your data protection rights, although the law permits fees or refusal in certain limited circumstances.

I will provide a clear route for making a data protection complaint, acknowledge receipt within the period required by applicable data protection law, take appropriate steps to investigate the complaint without undue delay, keep you appropriately informed and communicate the outcome.
You also have the right to raise a concern with the Information Commissioner's Office (ICO), the UK's independent data protection regulator.
14. Automated Decision Making
Raven Imagery does not currently use your personal information to make solely automated decisions that produce legal or similarly significant effects about you.

The Raven Imagery website may contain links to websites operated by other organisations.
Once you leave the Raven Imagery website, the way another organisation collects and uses your information is governed by its own privacy practices. Raven Imagery is not responsible for the privacy practices of independent third party websites.

I may update this Privacy Policy when Raven Imagery's services, technology or legal obligations change.
